Zoom Integration User Guide

Step-by-step instructions for adding, using, and removing PrepLab App in Zoom.

Overview

The PrepLab App connects an educator's Zoom account to PrepLab (operated by Innovista Labs LLP) using user-managed Zoom OAuth 2.0. This allows teachers to schedule, host, edit, and cancel live classes directly from their PrepLab course dashboard, automatically generate secure join links for students, and optionally export cloud recordings as course replays.

Prerequisites

  • An active PrepLab Educator/Teacher account.
  • A personal or institutional Zoom account.
  • For Cloud Recording: A Zoom account plan with Cloud Recording enabled (e.g. Pro, Business, or Enterprise). Free Zoom accounts support live meetings but not Zoom cloud recordings.

How to Connect (Install) PrepLab App

  1. Log in to your PrepLab educator portal at thepreplab.in/teacher-login.
  2. From the left navigation sidebar, navigate to Settings and click the Integrations tab.
  3. Locate the Zoom Integration card and click Connect Zoom Account.
  4. You will be redirected to Zoom's secure OAuth consent screen. Log in to your Zoom account if prompted.
  5. Review the requested permissions (user details, meeting management, and cloud recording metadata) and click Allow.
  6. Upon approval, Zoom redirects you back to PrepLab, displaying a confirmation message with your connected Zoom email address.

Scheduling and Managing Live Classes

To schedule a class: In your course, click Live Classes > Schedule Live Class. Select Zoom as the video provider, enter the class title, date, duration, and toggle Auto Cloud Recording if desired.

To start a class: Click Start Class (Host on Zoom) on the class card to launch the Zoom meeting as host.

Student access: Enrolled students in your course receive an automatic, secure meeting join link on their dashboard. Students do not need to authorize Zoom.

Updating or canceling: Click Edit Schedule or Cancel Class. PrepLab immediately syncs changes to your Zoom account via Zoom API.

Cloud Recordings & Replays

When cloud recording is enabled for a meeting, Zoom processes the video upon meeting conclusion. PrepLab retrieves completed recording metadata and secure replay files to make them accessible to authorized students enrolled in that specific batch.

How to Disconnect or Remove the App

Method 1: Disconnect within PrepLab

Go to Settings > Integrations > Zoom Integration and click Disconnect Zoom Account.

Method 2: Remove via Zoom App Marketplace

  1. Log in to the Zoom App Marketplace.
  2. Click Manage in the top-right corner.
  3. Click Added Apps from the left sidebar and find PrepLab App.
  4. Click Remove next to PrepLab App and confirm removal.
Data Deletion on Removal: When you disconnect or remove the app, PrepLab immediately revokes access with Zoom and permanently deletes your stored OAuth access tokens and refresh tokens from our database.

Troubleshooting & Support

Expired or Revoked Token: If your Zoom session expires or permissions are revoked, visit Settings > Integrations and click Reconnect Zoom.

Recordings Not Appearing: Zoom cloud recordings take between 15 to 30 minutes to finish processing after a class ends. Ensure your Zoom account has available cloud storage.
