When converting a PDF to a question paper or online test, compare the extracted result with the source before publishing. Check question counts, reading order, equations, diagrams, options and answer keys separately. A successful upload means the file was received; it does not prove that every question was extracted correctly.
PDF extraction versus AI question generation
PDF-to-test extraction reuses questions already present in a document. An AI quiz generator drafts new questions from instructions. If your task is to preserve an existing paper, do not replace missing source material with a plausible AI invention. Keep the source page and extracted question side by side, and record unresolved gaps.
Download the PDF extraction review log. This is an editable, ungated worksheet from ThePrepLab. Examples are illustrative, not customer results. Use anonymous IDs instead of student personal information.
Choose a useful pilot file
Start with a small, permitted sample containing the formats you actually use: one ordinary text page, a two-column page, an equation, a diagram and an answer-key reference. Include a page you expect to be difficult. Do not upload a copyrighted textbook simply because you can download it, and keep student names or identifying marks out of the sample.
| Symptom | What to inspect | Safe next step |
|---|---|---|
| Words or options missing | Cropped margins, blur, low contrast | Use a clearer source or correct against the original |
| Questions joined together | Columns, headers, page boundaries | Separate and renumber against the source |
| Wrong mathematical meaning | Minus signs, powers, roots, fractions | Check the expression and independently solve it |
| Diagram not usable | Labels, scale notes, crop and attachment | Restore a legible authorised image; inspect student view |
| Answer key mismatched | Question IDs versus displayed order | Reconcile each key after any reorder |
| Duplicate questions | Repeated pages or overlapping imports | Compare source IDs before removing a copy |
A small symbol can change the answer
Suppose the original question is “Solve x² = 9 for real x.” Both 3 and −3 are solutions. If extraction changes it to “x2 = 9,” the text no longer reliably communicates the same problem. Correct the notation from the source, then check the options and intended answer count. Do not merely choose the answer that looks most likely.
For a diagram question, checking that an image exists is insufficient. A missing right-angle marker or an unreadable axis label can make the task unsolvable. Inspect the image at the size a student will actually see. Check a printable export separately because its page breaks and image scaling may differ.
How do you know a paper is ready?
- Reconcile the number of source questions with accepted extracted questions and logged exclusions.
- Check every stem, option, answer and solution; independently solve items rather than copying the printed key uncritically.
- Preview student access, marking settings and solution-release timing.
- Save the source reference, reviewer and approved version.
- Do not publish unresolved items just to match a planned question count.
What if the same error keeps recurring?
Keep a short error log by format. If fraction bars repeatedly disappear, collect a non-sensitive example and report the exact page, input quality and output difference to support. Avoid repeated full-file retries before diagnosing the cause. Track correction effort as well as processing time when evaluating tools; a fast draft with extensive repairs may not save work.
For a systematic academic check after extraction, use the question review checklist. It also applies to extracted items: source fidelity and academic correctness are different checks, and neither should be assumed from a successful conversion.
Can a scanned PDF become an editable test?
It may be possible, but source quality, layout and supported formats affect the result. This is a review procedure, not a claim of universal OCR accuracy. Watch the actual PDF extraction tutorial and follow the PDF-to-online-test workflow. For an existing question bank, use the maintenance checklist instead of importing duplicates.
